When you sign up for RentFAX, your account and company workspace are created together. This page covers everything you need to configure your workspace before you start screening renters — including team access, role permissions, notification preferences, and white-label branding for Enterprise accounts.

Company workspace setup

Your company workspace is created automatically when you complete the setup wizard after your first login. The wizard collects:
  • Company name — appears on all reports you file in the RentFAX network
  • Business type — sole proprietorship, LLC, corporation, or partnership
  • Business phone and address — used for your company profile
You can update any of these details later in Settings.

Review your company profile

After completing the wizard, go to Settings and confirm your company name and contact details are correct. This information appears on incident reports you file and is visible to other operators when they view shared records.

Invite team members

Go to Settings → Team and invite everyone who needs access to your RentFAX workspace.
  1. Click Invite member
  2. Enter the person’s email address
  3. Select their role: Admin or Member
  4. Click Send invite
They’ll receive an email invitation with a link to create their account and join your workspace. Invitations expire after 7 days — resend them from the same settings page if needed.

Assign roles

RentFAX has two roles. Assign them based on what each person needs to do.Only Admins can change another user’s role or remove them from the workspace.
The person who creates the account is automatically assigned the Admin role.

Configure notification settings

RentFAX can alert you and your team when important events occur. Admins can configure notification preferences in Settings → Notifications.You can enable or disable alerts for:
  • New fraud signals detected on a renter
  • Incidents filed against a renter in your portfolio
  • New disputes opened by renters
  • Dispute resolution updates
  • Weekly portfolio digest email (summarizes active renters and open disputes)
Notifications are sent by email. Each team member can manage their own notification preferences from their personal account settings.

Compliance tools

RentFAX includes built-in tools to help you meet data privacy obligations:
  • Export renter data — generate a full export of any renter’s record on request (GDPR/CCPA compliance)
  • Delete renter data — permanently remove a renter’s data from your workspace when required
  • Audit logs — every action in your workspace is logged with a timestamp and the user who performed it. Audit logs are tamper-proof and available to Admins under Settings → Audit Log
RentFAX encrypts all renter data at rest and in transit.

White-label branding (Enterprise)

Enterprise accounts can replace the default RentFAX visual identity with your own branding. This affects the appearance of renter-facing communications, including dispute notifications and renter portal access emails. To configure white-label branding:
  1. Go to Settings → Branding
  2. Upload your company logo (PNG or SVG, recommended minimum 200px wide)
  3. Set your primary brand color using a hex code
  4. Save your changes
Your custom logo and color scheme are applied immediately to all outbound communications for your workspace.
White-label branding is available on the Enterprise plan only. Contact sales if you’d like to upgrade.

Managing your subscription

Your plan, report usage, billing history, and payment method are all managed in Settings → Billing. This opens the Stripe billing portal where you can:
  • Upgrade or downgrade your plan
  • Add seats or other add-ons
  • Update your payment method
  • Download invoices
